This notice covers this website and enquiries sent to Strata Digital. Information handled when providing managed IT services may also be covered by your service agreement and relevant data processing terms.
Information you share with us
If you email us, we receive your email address, the contents of your message and any contact or business details you include. Our enquiry form asks for your name, business name, work email, area of interest and a short description of what you need.
Selecting Send enquiry sends the completed details to our HubSpot CRM so that Strata Digital can receive, manage and respond to your request. Details are sent when you submit the form, rather than as you type. We send the page address and title with your enquiry, without attaching a HubSpot tracking-cookie identifier. If the connection fails, a copy option lets you prepare an email instead; copying writes the message to your device’s clipboard.
Your browser or email provider may handle information under its own settings and privacy notice, including autofill, drafts and sent mail. Please avoid including passwords, sensitive documents or unnecessary personal information in an enquiry.
Contacting us is optional. The required form fields help us understand and respond to your enquiry; you can also email us directly. Without a way to contact you, we may be unable to reply.
Requesting a help sheet
Our free PDF help sheets are available after a short form. We ask for your first name, last name and work email; your business name is optional. We send the submitted details, the guide title and the page address to HubSpot to record and fulfil your download request. The PDF link is then shown on the page. HubSpot hosts the PDF and receives the technical information needed to deliver it when you open the link.
When you select Get the free PDF, you agree to us storing and processing your details to provide the help sheet and manage your request. You can also choose to receive our marketing emails using the separate sign-up box. The PDF is available whether or not you choose to subscribe, and no download email is sent automatically. You can read the full web editions without completing a form or accepting optional cookies.
Email tips, news and offers
If you select the email sign-up box on a help-sheet form, Strata Digital will use your name and email address to send IT tips, business technology news and offers about our services. We use HubSpot to record your subscription, the wording you agreed to, when you signed up and the page where you made your request.
We rely on your consent for these email subscriptions. The sign-up box is optional and is not selected in advance. Leaving it empty does not add a new marketing subscription or change an existing subscription preference.
You can withdraw your consent at any time using the unsubscribe link in our marketing emails or by contacting [email protected]. This does not affect processing carried out before you withdrew consent. We may retain a record of your opt-out so that we can respect your choice.
Information from using the website
Your browser sends technical information when it requests a page, such as an IP address, browser information and the requested address. Cloudflare delivers the public website and handles these requests, including operational and security information needed to run the service.
The website loads HubSpot components for cookie choices, website measurement and access to live chat. HubSpot receives technical information such as your IP address, browser details and page address when these components load. Optional HubSpot analytics cookies require your choice in the cookie banner; HubSpot can also receive limited requests without those cookies. Strata’s own fonts and images are served with the website, while HubSpot may load resources from its own providers. The optional EasyDMARC domain scanner has separate analytics and advertising technologies and consent controls.
The private website preview also uses hosting-provider access controls. The public website does not require a visitor account. Provider logging and retention arrangements still need to be confirmed for the final notice. See our Cookie Policy for the current position on cookies and browser storage.
Enquiries and chat through HubSpot
We use HubSpot to hold enquiry details and manage conversations. Form submissions include your name, business name, work email, chosen service and message. If you start a chat, HubSpot processes your messages and any contact information you provide, together with technical information needed to deliver the conversation.
The chat asks about its cookies before starting and explains how messages are handled. Chat availability follows the team’s availability in HubSpot. When the team is away, you can leave an enquiry. An enquiry or chat does not automatically subscribe you to marketing emails.
Our purpose is to answer your request and manage the resulting business conversation. Read HubSpot’s Privacy Policy for its handling of information, and our HubSpot cookie information for browser choices. The final notice must confirm contractual roles, retention and any international-transfer safeguards for this account.
The EasyDMARC domain scanner
The homepage gives you access to EasyDMARC’s domain scanner. Where the scanner is available within this website, it remains unloaded until you select Accept and load scanner. You can also choose to open EasyDMARC’s separate website.
Loading the embedded scanner sends your IP address, browser details and the current page address to EasyDMARC. Domains you submit for checking are sent to its service. The widget also loads its providers’ analytics and advertising technologies, which may collect usage and device information.
These include services from Google, Microsoft, LinkedIn, Meta, Reddit and other providers used by EasyDMARC. See EasyDMARC’s Privacy Policy for its data handling, recipients, retention and contact information.
We ask for your consent before loading the embedded widget. Reload or leave this page to close the scanner and stop further widget requests. This does not remove cookies or information already received by the provider. You can delete stored website data in your browser settings. Your loading choice is not saved by Strata for a later visit.
Strata’s website does not save scan submissions in its own database. Any results or leads made available to Strata through its EasyDMARC account, and the associated retention arrangements, still need to be confirmed for the final notice.
Why we use information
The following describes the proposed handling of website enquiries. These purposes and lawful bases need to be confirmed against Strata Digital’s business processes before this draft becomes final.
Responding to business enquiries
To understand your request, answer questions and discuss suitable services. The proposed basis is our legitimate interest in communicating with people who contact the business, balanced against their rights and expectations.
Preparing an agreement with you
Where you personally ask us to take steps towards a contract with you, the basis may be those pre-contractual steps. This does not automatically apply where you contact us on behalf of a separate company.
Meeting legal requirements
Where a specific law requires us to retain or disclose information, the basis is that legal obligation.
The Strata enquiry form does not enrol you in a marketing list or make automated decisions about you. Sending an enquiry is not an agreement to receive unrelated marketing. The separate domain scanner’s data handling is described above.
Who may handle information
Strata Digital and HubSpot handle website enquiries and chat. Replying by email also involves the providers that deliver and host business email. Cloudflare provides public website hosting. Business email is delivered through Microsoft 365. The final notice needs to confirm retention, other recipients and each provider’s contractual role.
The Get support button opens our separate SuperOps support portal. Details entered there are handled through that service, separately from this website’s enquiry form and chat. Review the information presented by the portal and your support agreement.
Links to partner websites take you to services with their own privacy notices. Displaying a partner logo on these pages does not itself send that partner your enquiry.
How long information is kept
Submitted enquiries, help-sheet requests and chat conversations are held in HubSpot as part of our business correspondence. The static website itself does not maintain a separate enquiry database. Emails you send become part of the business’s correspondence too.
Retention periods for CRM records, chat conversations, correspondence and hosting logs are awaiting confirmation. The final schedule should reflect whether an enquiry remains open, whether it becomes a client relationship, and any necessary legal or dispute-related retention. This draft does not set an unverified deletion deadline.
Where information is handled
HubSpot, email, hosting and EasyDMARC services can involve processing in more than one country. Provider locations, any restricted international transfers and the applicable safeguards are awaiting confirmation.
The final notice will explain relevant transfers and how to obtain information about the safeguards. This draft does not claim that all information stays in the UK.
Your data protection rights
Depending on the circumstances, you can ask for access to your personal information, correction of inaccurate information, deletion, restricted use, or a portable copy of information you provided.
Your right to object
You can object to processing based on legitimate interests for reasons relating to your circumstances. You can also object to the use of your information for direct marketing.
If processing relies on your consent, you can withdraw that consent. This does not affect processing that was lawful before withdrawal.
